Information Security Policy
This privacy policy governs the use of "Fichap Mobile," "Fichap Point," "Collaborator Portal," "Fichap Dashboard," and "Fichap Website," created and maintained by Workode SAS (the "Company" and/or "Fichap"). We are committed to safeguarding the privacy of visitors to our website, desktop, and mobile applications. This policy details how we treat your personal information.
Management Statement of Intent
Users and visitors agree to browse the Website and use its content in good faith. We inform you that:
1. The data you provide on the Website will be treated with the utmost confidentiality and will become part of the Database owned by the Owner and/or Administrator Users. The Owner User and/or Administrator User are solely responsible for the database, its custody, and its registration, and must comply with applicable personal data protection legislation. It is clarified that the Company only provides these users with a space to store and manage data and their human resources. All data addressed to the Company as recipient will be stored in the database owned by Workode S.A.S. with address at Avenida Dorrego 2292, 2nd floor, office "B", Autonomous City of Buenos Aires, Argentina, for the purposes detailed below.
2. You are not obliged to provide your personal data, unless you wish to use the services of the Website or mobile applications, as this data is essential for your identification.
3. Use of the Service implies acceptance of this privacy policy, as well as authorization for the Company to process the personal data you provide to us.
4. You are entitled to exercise your rights of access, rectification, and deletion of your personal data. If you are a Collaborator User, you may request this from your employer, and if you are an Owner or Administrator User, you may do so from your profile on the Website. By merely visiting the Website, individuals who access it do not provide any personal information nor are they obliged to do so. The Company presumes that the data has been entered by its owner or by a person authorized by them, and that it is correct and accurate.
Information Security Principles
- Information about your computer and mobile device, and about your visits and use, including your IP address, geographical location, browser type, operating system, referral source to the site and app, session duration, and other data of interest to improve our service.
- Information that you provide to us for the purpose of registering on our website and app, including email, first name, last name, place and country of residence, address, phone number, avatar, a photograph of your face, and your site login password.
- Any other information that you choose to send to Fichap.
Information Security Management Objectives
At Fichap, we value the privacy and security of our users. We use facial data exclusively for identity authentication purposes. This process involves:
- Facial Data Collection: During authentication, the application captures a facial image of the user, which is compared with a pre-existing profile photo provided by the user's company to verify identity.
- Use and Processing: The captured facial image is used solely for this validation purpose and not for any other end. Validation is performed by an algorithm that calculates the matching percentage without storing additional facial data.
- Storage and Retention: We do not store facial data after the authentication process. Facial images are processed in real-time and discarded immediately after validation.
- Data Sharing: We do not share facial data with third parties. Our policy guarantees the confidentiality and privacy of our users' information.
- Data Security and Protection: We implement security measures to protect data processed during identity authentication, ensuring it is handled securely and in accordance with applicable privacy laws.
Scope of the Information Security Policy
Personal data entered on both this website and the mobile app will be used for the purposes specified in these privacy policies or in the required sections. We may use your personal information to:
- To administer the website and the app.
- To improve your browsing experience.
- To enable you to use the available services.
- To send you general commercial communications.
- To send you email notifications that you have specifically requested.
- To send you our newsletter and other Fichap-related communications that we believe will be of interest to you, where you have specifically agreed to this, by email. You can inform us at any time if you no longer wish to receive marketing communications. Optionally, you can modify your preferences in your account settings under the 'Receive Newsletters' option, or click the 'Unsubscribe' link at the bottom of service emails to unsubscribe from the newsletter.
- To provide third parties (including other Fichap users) with statistical information about users; this information will not be used to identify any individual user.
- To deal with inquiries and complaints made by or about you relating to the website.
- To enable Collaborator Users to use the services more quickly and accurately, by using a photograph of their face. This image will be used to allow the system to recognize them, grant them access, and link them to their profile. In this regard, the Collaborator User grants their express consent for the use of their image and the data that identifies them within it. It is clarified that the data will only be stored for this purpose.
We will not provide your personal information to any third party for the purpose of direct marketing without your express consent. If an order is placed with online payment, Fichap never stores credit card data; this task is carried out by online payment providers such as “Mercado Pago” and/or “PayPal”.
Roles and Responsibilities
User data will only be visible in the administration Dashboard to the organization that contracts the service, by the person(s) it designates. This organization will only be able to access users and their respective data that are under its responsibility.
Information Classification
We may disclose information about you to any of our employees, agents, insofar as reasonably necessary for the purposes set out in this privacy policy. In addition, we may disclose information about you:
- To the extent that we are required to do so by law.
- In connection with any legal proceedings or prospective legal proceedings.
- To establish, exercise, or defend our legal rights (including providing information to others for fraud prevention purposes).
Except as set forth in this privacy policy, we will not provide your personal information to third parties.
The Company may need to send information to its suppliers, partners, or related companies for the provision of the Service and/or to offer them new services, promotional offers that may be of interest to them, which may be located outside the country. Owner Users and Collaborator Users give their consent for this and expressly authorize the Company to use their data and transfer it, if applicable. If required by applicable laws, Owner Users and Collaborator Users must sign any additional agreement or amendment that may be required to allow the transfer of data outside the country, in accordance with such applicable laws.
Risk Assessment and Treatment

If your information has changed, you are responsible for modifying it on the website and/or mobile application or requesting your employer and/or Administrator User to do so. This will ensure the proper functioning of the site.
How to Exercise Your Rights of Access, Rectification, Cancellation, and Objection?
It is the responsibility of both Owner Users and Administrator Users to manage and keep User data updated. Owner and/or Administrator Users will have the right to access, rectify, and delete Personal Data linked to their Organization, and may make changes to Collaborator User data. To exercise this right, both Owner Users and Administrator Users must log in to their User account using their registered ID and Access Key, and go to "Company Data," then "Edit Profile," to modify or delete the desired data. To make changes to Collaborator User data, Owner Users and Collaborator Users must go to "Collaborators," select the Collaborator User, and then "edit." Therefore, both the Owner User and the Administrator User are responsible for the truthfulness and accuracy of the data, and WORKODE S.A.S. will not be responsible for the inaccuracy of Users' Personal Data. Users are informed that deleting any data may lead to account blocking or prevent the User from properly using the Service, and the User assumes such risk and responsibility.
